Cancellation Policy

At BestTravelNetwork, we understand that travel plans can change at any moment. That is why we provide a flexible and transparent cancellation policy designed to protect both our customers and our partnered rental providers. Below are the conditions and procedures that apply to all cancellations made through our platform.

1. Cancellations Made Before Pickup

If you need to cancel your reservation prior to picking up the vehicle, you may do so by contacting our customer support team or using the cancellation link included in your confirmation email. Refund or credit eligibility will depend on the timing of your request and on the policy of the corresponding provider:

  • More than 48 hours before pickup: most reservations qualify for a full or partial refund, depending on the provider’s policy.
  • Between 24 and 48 hours before pickup: provider cancellation fees or administrative charges may apply.
  • Less than 24 hours before pickup: the reservation may not be refundable, except in justified or force majeure situations.

2. Cancellations After Confirmation

Once a reservation has been confirmed and issued, any cancellation is considered a post-confirmation cancellation. In such cases, an administrative fee or provider charge may be applied to cover processing, coordination, and completed services.

3. Non-Refundable Reservations

Some promotional rates, special deals, or “non-refundable” reservations do not qualify for refunds. This will be clearly indicated before completing the reservation. If the customer chooses to cancel, no refund, credit, or compensation will be issued.

4. No-Show Policy

If the customer does not show up at the pickup location and time without prior cancellation, the reservation will be classified as a “no-show” and will not be eligible for a refund. Providers may retain the total rental amount or apply a penalty according to their internal policy.

5. Cancellations Due to Force Majeure

In extraordinary circumstances beyond the customer's control—such as severe weather, medical emergencies, natural disasters, or airport closures—BestTravelNetwork will review each case individually to determine if a partial or full cancellation fee waiver applies.

6. Cancellations Initiated by the Provider

If a provider cancels the reservation due to vehicle unavailability, office closure, or operational issues, BestTravelNetwork will arrange a full refund or an equivalent alternative. No penalties will ever be applied to the customer for provider-initiated cancellations.

7. Partial Cancellations or Modifications

If the customer requests to partially modify the reservation (e.g., shortening the rental period or changing the drop-off city), price adjustments will be calculated according to the provider’s policies. Partial cancellations do not guarantee proportional refunds, as certain rates are based on fixed-price contracts.

8. Cancellation Procedure

To cancel a reservation, the customer must contact our support team or send an email with the following information:

  • Full name of the reservation holder
  • Confirmation number or booking reference
  • Reason for cancellation
  • Pickup date and location

9. Refund Processing

Approved refunds will be processed using the same payment method used for the original booking. Depending on the bank or payment processor, refunds may take between 7 and 21 business days to appear. BestTravelNetwork will notify the customer once the refund has been completed.

10. Administrative Fees

In some cases, an administrative fee may be applied for handling the cancellation. This fee covers operational costs, provider communication, and internal processing. Such charges will be disclosed before confirming the final cancellation.

11. Reservations Made Through Third Parties

If the reservation was made through a travel agency or affiliated website, cancellations must be handled directly with that intermediary. Their refund policies and timelines may differ from ours and are subject to the issuing agent’s terms.

12. Changes to the Cancellation Policy

BestTravelNetwork reserves the right to update or modify this Cancellation Policy at any time to reflect regulatory, technological, or operational changes. Any updates will be posted on this page with the corresponding revision date.
